Privacy Policy

Field exists to help athletic departments unlock the stories inside their records.

This Privacy Policy explains what information Field collects, how it is used, and the choices available to people who interact with Field. We have written this in plain language because we believe privacy policies should be understandable by the people who read them.

Field is operated by Field Athletics, based in Minnesota.

What Field Does

Field is an embeddable AI chat experience for college athletics. It allows fans, alumni, athletes, coaches, and staff to ask questions about verified athletic records using natural language.

Field works with athletic departments to organize historical records, statistics, game results, and season information so those records can be searched and explored through a conversational interface.

Information We Collect

Visitors to tryfield.ai

When someone visits the Field website, we collect standard website analytics information. This may include:

  • Pages viewed
  • Referring websites
  • Browser type and device information
  • General usage patterns

Field uses Vercel Analytics to understand how the site is being used and to improve performance and content.

We do not use advertising cookies, third-party tracking pixels, or behavioral advertising technologies.

Contact and Inquiry Forms

If you contact us through a form on tryfield.ai, we may collect:

  • Name
  • Email address
  • Institution or school
  • Role or title (optional)
  • Message content (optional)

Form submissions are processed through Resend and delivered to hello@tryfield.ai. Submission data is retained within Resend’s systems according to their retention policies. Field does not maintain a separate customer relationship management database for these submissions.

We use this information only to respond to inquiries and continue conversations that you initiate.

Questions Asked Through Field Embeds

When someone asks a question through a Field chat widget embedded on a customer website, the question is sent to Field’s servers for processing.

The question is then sent to our AI provider, Anthropic, to generate a response. The response is returned to the user through the widget. Per Anthropic’s API usage policy, Anthropic does not use inputs or outputs from the API to train its models.

To operate and improve the service, Field records to server logs:

  • Question text
  • Technical metadata: response timing, token counts, and outcome status

If a server error occurs while processing a request, error details may be captured by Sentry for diagnostic purposes.

Field does not require users to identify themselves before asking questions.

However, if a user voluntarily includes personal information in a question, that information may appear in system logs associated with the request.

We review query patterns in aggregate to improve the product, but individual questions are not associated with identified users.

Admin Accounts

Field uses Clerk to manage authentication for administrative areas of the application.

When an administrator signs in, Clerk may process information such as:

  • Name
  • Email address
  • Authentication credentials
  • Session information

This information is managed according to Clerk’s own privacy and security practices.

Customer Data

When an athletic department becomes a Field customer, the institution may provide historical records and statistics for use within the platform.

These records may include:

  • Team records
  • Season summaries
  • Match and game results
  • Athlete names
  • Statistical performance data

We treat this information as the customer’s data.

The institution retains ownership and control of the records it provides to Field.

How We Use Information

Field uses information only for purposes directly related to operating and improving the service.

Lead and contact information is used to respond to inquiries and communicate with organizations that have expressed interest in Field.

Questions submitted through Field embeds are used to generate responses, maintain service reliability, identify issues, and improve the quality of the system.

Customer records are used solely to power that customer’s implementation of Field.

Field does not sell personal information.

Field does not share customer datasets with other customers.

Field does not use customer data to train public AI models or foundation models.

Data Retention

Field retains different categories of information for different periods:

  • Server logs (question text, telemetry): Retained by Vercel according to their platform log retention policy. Field does not separately archive or export server log data.
  • Error monitoring data: Retained for up to 90 days within Sentry, per their default settings.
  • Contact form submissions: Retained within Resend’s systems according to their retention policies.
  • Customer records: Retained for the duration of the service relationship. Upon subscription termination, customer data is deleted from Field’s systems.
  • Administrative account data: Managed by Clerk according to their data retention practices.

Third-Party Services

Field relies on a small number of service providers to operate the platform:

  • Anthropic — AI processing and response generation
  • Sentry — error monitoring and reliability tracking
  • Resend — form submissions and transactional email
  • Clerk — authentication and account management
  • Vercel — application hosting and analytics
  • Neon — PostgreSQL database hosting

These providers process information only as necessary to perform the services they provide to Field.

Athletic Records and FERPA

Many Field customers are colleges and universities subject to the Family Educational Rights and Privacy Act (FERPA).

Institutional datasets used by Field may include athlete names, roster information, statistics, awards, and performance records. In many cases, this information is considered directory information or is otherwise publicly disclosed through athletic department websites and publications.

That said, every institution has its own policies and obligations.

Field works with each customer to determine what information is appropriate to ingest, store, and display. We will respect institutional restrictions and data governance requirements when they apply.

Your Rights

If Field holds personal information about you, you may request:

  • A copy of the information we hold
  • Correction of inaccurate information
  • Deletion of your information

We will respond within a reasonable timeframe and may ask for information necessary to verify your identity before fulfilling a request.

Children’s Privacy

Field is designed for college athletics audiences, including student-athletes, alumni, fans, coaches, and athletic department staff.

We do not knowingly collect personal information from children under 13.

Some customer datasets may contain athlete names and performance statistics. These records originate from collegiate athletic programs and represent publicly disclosed athletic participation and performance information.

If you believe a child under 13 has provided personal information directly to Field, please contact us and we will investigate and take appropriate action.

Data Security

We take reasonable measures to protect information entrusted to Field.

No online service can guarantee absolute security, but we work with established infrastructure providers and follow standard practices designed to protect customer data and maintain system reliability.

Changes to This Policy

As Field evolves, this Privacy Policy may change.

When substantive changes are made, we will update the effective date at the top of this page and revise the policy to reflect current practices.

We encourage customers and users to review this page periodically.
